Who we are
Cluster Headache Aotearoa New Zealand ("we", "us", "our") operates the website at clusterheadache.org.nz. The legal entity is Cluster Headache Aotearoa New Zealand Trust Board, incorporated under the Charitable Trusts Act 1957 on 12 August 2026 and registered with Charities Services as CC65148.
We are committed to protecting your privacy in accordance with the Privacy Act 2020 (New Zealand) and the New Zealand Privacy Principles.
What information we collect
Contact, Get Involved and media enquiries
When you use an enquiry form, we collect your name, email address, the contents of your message and any other details you choose to provide, such as your organisation or the kind of help you are offering. We use these to respond to your enquiry.
Newsletter subscriptions
When you sign up for CHNZ updates, we collect your email address, optional first name, IP address, signup source, consent date and subscription status. We use your email to send a confirmation link and, after you confirm, the updates you requested. Your IP address and short-lived security records help us limit repeated requests. Your subscription details are available only to authorised CHNZ administrators.
Signing up is optional. Confirmation links expire after 48 hours and can be used once. You can unsubscribe using the link in an email or by contacting us. We keep subscription information while managing your signup and sending your requested updates. When you unsubscribe, we remove your first name and signup IP from the active record and retain your email address, subscription status and relevant dates to respect your preference. You can also ask us to delete your subscription record. Deleted information may remain in routine hosting backups until those backups are replaced.
Online support meetings
Meeting registration takes place through Zoom. The details you provide there are handled by Zoom and the meeting organisers to manage registration, joining instructions and reminders. Please read the privacy information on the registration page before signing up. Registering for a meeting does not subscribe you to the CHNZ newsletter.
Website usage data
Our own visit counter records the time, page path and referring website's host name. It does not record your IP address or the query string in the page address. Our hosting and security providers may separately process technical information, including IP addresses, in their service and security logs.
Information you send us by email
If you email us directly, we will retain that correspondence as part of our general communications records.
Community presence map
If you choose to add yourself to the community presence map, we collect your email address for magic link sign-in and marker management. The public marker may show your display name, approximate location, region, role and optional short note. Your email address is shown publicly only if you explicitly choose that option.
How we use your information
We use the information we collect only to:
- Respond to your enquiry or message
- Provide information or support you have requested
- Manage your opt-in community map marker and magic link sign-in
- Confirm and manage newsletter subscriptions and send the updates you requested
- Manage meeting registration and reminders through the meeting service
- Protect forms and services from spam and misuse
- Improve the website based on aggregated, anonymised usage patterns
We do not sell your information or add you to the newsletter because you sent an enquiry. We share information with service providers where needed to operate the services described here, or where required by law.
Storage and security
Messages sent via our contact form are received by email and handled securely. Community map and newsletter information is stored on our website hosting account. We take reasonable steps to protect the personal information we hold from misuse, loss or unauthorised access.
Service providers
Hostinger provides website hosting and email services. Cloudflare Turnstile processes technical browser and network information to help protect our public forms. Zoom provides meeting registration and video meetings. These services may process information outside New Zealand. External resources, such as Google Fonts, also receive the connection information needed to deliver them to your browser.
You can read the providers' privacy information at Hostinger, Cloudflare and Zoom.
Your rights under the Privacy Act 2020
You have the right to request access to the personal information we hold about you and to request corrections if that information is inaccurate or misleading. To make a request, please contact us at info@clusterheadache.org.nz.
